- Document Content: You may upload documents (PDF, DOC, DOCX) for analysis. We process the content of these documents solely to provide the analysis features of the Service.
- User Input & Preferences: We collect the answers you provide during the Q&A workflow and any custom questions you add. If you save a Persona, we store these answers associated with that Persona.
- Payment Information: When you purchase coupons, our payment processor (Razorpay) collects necessary payment details. We receive confirmation of payment and order details but do not directly store your full credit card number.
- Usage Data: We automatically collect information about how you interact with the Service, such as features used, pages visited, document types analyzed (anonymously), IP address, browser type, and timestamps. This helps us understand usage patterns and improve the Service.
- Contact Information: If you contact us via the contact form or email, we collect your name, email address, and the content of your message to respond to your inquiry.
3. How We Use Your Information
We use the information we collect for the following purposes:
- To Provide and Maintain the Service: Primarily, to process your uploaded documents using AI (Google Gemini API), generate summaries, identify parties, facilitate the Q&A workflow, generate final analysis reports based on your input, and manage your Personas.
- AI Processing (Specifically): Your document content is sent securely to the Google Gemini API for processing. This processing is **ephemeral** and used solely to generate the analysis results returned to you via our Service.
- No AI Model Training: We state clearly and operate under the principle that **your uploaded document content is NOT used to train Google's public AI models** or any other third-party models. We rely on Google's enterprise API terms which prohibit such usage for API calls like ours.
- Account Management: To manage your account, provide customer support, process payments, send verification emails, password reset links, and communicate important service updates or policy changes.
- Internal Improvement: To analyze anonymized and aggregated usage data (like feature popularity, common document types analyzed, *not* your specific document content) to understand how our Service is used, troubleshoot issues, and improve its functionality and user experience.
- Compliance and Protection: To comply with legal obligations, enforce our Terms of Service, and protect the rights, property, or safety of Personas.Work, our users, or others.
4. Data Sharing and Disclosure
We do not sell your personal information. We may share your information only in the following limited circumstances:
- AI Service Provider (Subprocessor): We share document content with Google (specifically, the Gemini API) as a necessary subprocessor to perform the core analysis function. This sharing is governed by Google's strict data privacy and security terms for their enterprise APIs, which prohibit use for public model training.
- Other Service Providers: With trusted third-party vendors who perform services on our behalf, such as cloud hosting (server infrastructure), email delivery (SendGrid for transactional emails), payment processing (Razorpay), and analytics. These providers are contractually obligated to protect your data and use it only for the services they provide to us.
- Legal Requirements: If required by law, subpoena, or other legal process, or if we have a good faith belief that disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud, or respond to a government request.
- Business Transfers: In connection with a merger, acquisition, financing, or sale of assets, your information may be transferred as part of the transaction. We will notify you via email and/or a prominent notice on our Service of any change in ownership or uses of your personal information.
5. Data Storage and Security

6. Data Retention and Deletion
- User Control is Key: You have control over your uploaded documents and analysis data within Personas.Work.
- Document Retention: We store your uploaded documents, preview images, and associated analysis results only as long as they exist within your account in our system.
- Deletion Options:
- Manual Deletion: You can permanently delete any document and its associated analysis results at any time from the "My Documents" section.
- Immediate Purge Post-Analysis: After completing an analysis, you are presented with an **'Export & Delete'** option. Choosing this will allow you to download your analysis report and will then **immediately and permanently purge** the original document file, its preview images, and all associated analysis data from our active systems.
- Effect of Deletion: Once deleted using either method, the data is removed from our primary databases and storage. Please note that residual copies may persist in backups for a limited period necessary for disaster recovery, but will not be used for operational purposes.
- Account Data Retention: We retain your basic account information (name, email, etc.) as long as your account is active or as needed to comply with legal obligations (e.g., financial records related to payments). You can request account deletion by contacting us (see Section 10).
- Persona Data: Saved Personas are retained until you explicitly delete them via the "My Personas" section.
7. Cookies and Tracking Technologies
We use essential cookies for session management and authentication. We may also use cookies or similar technologies (like Google Analytics) to collect anonymized usage data to help us understand how the Service is used and improve it. You can configure your browser to refuse cookies, but some parts of the Service may not function properly.
